Creating more than one file for the same month

 

In cases where you are running payrolls for more than one company/business, or separating wages and salary into two payrolls, you may want to change the file name and/or extension for the second and subsequent files to avoid overwriting the previous file. You can overwrite the files if you want to, HOWEVER you would have to ensure you upload the first one to the IRDs website BEFORE creating the next one (which will replace the first) and so on. Once the file has gone to the IRD it is not needed on your hard drive anymore - except if you want it for your own reference of course.

 

Different File Names
To use different names - for example you may create MS040531.CSV for ABC Limited then MS040531.CS2 for XYZ Limited and so on. The name is entered in the Monthly Schedule part of Payroll Pro. Note that the name will always default to the standard format of MSyymmdd.CSV, so you would need to override this each time (each month). The next option below may be easier.

 

Separate Folders
Or you may want to save the schedules for the separate companies in separate folders.

For example for August 2012 you may just use the default name MS120831.CSV for both companies, but
save the file for ABC Limited in C:\PayCSV\ABC
and the file for XYZ Limited in C:\PayCSV\XYZ

The folder names are examples only - you can choose your own.

Payroll Pro has a "Create New Folder" button in the Monthly Schedule option for this purpose, or you can use "My Computer" to create a folder, and then browse for the folder from Payroll Pro. Once you have saved a file in the selected folder Payroll Pro will remember the folder for next time, making this option easier than the one above where the file name is manully changed each month.

 

Wages and Salaries in two separate payrolls
If you have your wages and salaries kept in separate payrolls with the SAME IRD number, you will need to apply to the IRD for a second IRD number to use with one of these. The reason for this is that you cannot send two files with the same IRD number - the second one will be rejected.
