Password Protection
Each set of payroll data can have it's own passwords. A password can be between 3 and 8 characters - either 0-9 or A-Z. Passwords are NOT case sensitive - this means abc is taken to be the same as ABC or Abc etc. One or two passwords can be defined - a full access password on it's own, or a full access password and a partial access password. A full access password on it's own means a user needs this to access the data. Any one without this password will be locked out of the data. If both a full access password and a partial access password are defined, then anyone with only the partial access password will be able to carry out some but not all operations. The operations available with a partial access password are defined by the user (some one with a full access password) using the Define Partial Access option.
To set Passwords, select "Options" from the top menu in Payroll Pro, and then select "Password Maintenance".
You will now see the password options.
Change Full Access Password
1. Enter the "Full Access Password"
2. Then enter it again beside "Confirm New Password"
3. Press [OK] to save the new password, or [Cancel] if you do not want a new password.
If you need to remove passwords later for any reason, go to Password Maintenance again and click the "Clear Passwords" button. This will clear the full access password as well as the partial access password if one is defined. The reason both are cleared is that you cannot have a partial access password if a full access password is not defined.
Change Partial Access Password
Payroll Pro will not let you use this option unless a full access password is defined first.
1. Enter the "New Partial Access Password"
2. Then enter it again beside "Confirm New Password"
3. Press [OK] to save the new password.
Define Partial Access
Use this to tell Payroll Pro what you mean by 'Partial Access'. Each set of data can have a different definition. A list of options are given. Tick the options that a user with the partial access password can access, and then press [OK].
Don't forget your password!
If you have forgotten your password, we will need proof of licence, and a fee will be charged. The amount of the fee may depend on the situation.
You will need to:
1. Create a backup of your data using Payroll Pro's Backup/Restore utility.
2. Post on letterhead (or emailed on scanned letterhead) a signed letter confirming that you are the licenced user of Payroll Pro.
3. Email the backup file to us.
4. Generally payment will be required to be received before we reset the password and return the data to you.
5. We may contact you to ask some security questions before emailing the data back to you.
